Request for proposals: Website strategy support '26

By the present procurement procedure, EIT Urban Mobility, hereinafter being referred to as “EIT UM”, is seeking a qualified provider,  hereinafter being referred to as “Provider”, to deliver ongoing website hosting, maintenance, and development services. This request covers the following websites: EIT Urban Mobility’s main website https://www.eiturbanmobility.eu/ and https://raptorproject.eu/. Both websites are developed on WordPress.

The selected provider will act as a long-term partner, supporting the Communications and Marketing team in ensuring that the EIT Urban Mobility websites remains a high-performing, user-friendly, secure, and strategically aligned digital platform. The collaboration aims to maintain a strong and coherent online presence that effectively communicates EIT Urban Mobility’s mission and activities.

The general objectives of this partnership are to ensure the stability, quality, and evolution of the EIT Urban Mobility websites as central communication channels for the organisation. The provider will be responsible for:

  • maintaining a secure, reliable, and continuously updated technical environment
  • ensuring high-quality user experience, accessibility, and brand consistency across all pages
  • optimising the websites’ performance and visibility in search engines and emerging AI-driven discovery tools
  • integrating the websites with relevant digital systems and tools to support marketing, events, and data analytics
  • providing insights, recommendations, and ongoing technical and strategic support to enhance the site’s impact and functionality

EIT Urban Mobility has a team of approximately 20 staff members with the ability to publish news and basic updates on the website. However, all development activities, the creation of new landing pages, and any design, structural, or technical upgrades will be coordinated and approved exclusively by the Communications and Marketing team. The selected provider will work directly with this team to plan and deliver all such activities.

A weekly coordination meeting between the provider and the Communications and Marketing team is expected. These meetings will ensure consistent communication, follow-up on ongoing tasks, and discussion of priorities, issues, and upcoming developments.
