Request for Proposals: Provision of event management services

Events are an important component of EIT Urban Mobility’s communications strategy and play a pivotal role and channel for disseminating the success and impact of EIT Urban Mobility.

By the present procurement procedure, EIT Urban Mobility aims to organise two different events, for all its partners from different European locations and is seeking professional support for the planning, organisation, and execution of two events in Barcelona, Spain, on 14 and 16 November 2022:

A – Event 1: 14 November 2022 – EIT Urban Mobility partner event

Some of the objectives that EIT Urban Mobility aims at reaching with the event are the following:

• Reinforce the strong feeling of community and belonging to the EIT Urban Mobility community for all our partners.
• Awareness of how powerful our community is – we are European, and we have the main actors in the sector.
• Exclusivity event – only for our partners – only for the selected.
• Hook event, to transforms potential leads, to become EIT Urban Mobility partners. Some of our ready-to-be partners will also be invited to the event.

The objective is to gather all EIT Urban Mobility partners under one roof. This will be the first edition of the event. The first time – since our creation in 2017 – that all our partners get together in one place during a specific event designed just for them.

It is foreseen to organise the event in yearly bases – probably before the summer – in a different European location.

B – Event 2: 16 November 2022 – Tomorrow.Mobility Gala dinner event

EIT Urban Mobility co-organises together with Fira Barcelona, the event called Tomorrow.Mobility World Congress, which is our flagship event.  On the second day of the event, on 16 November 2022 – EIT Urban Mobility aims to organise a Gala dinner for a selected number of EIT Urban Mobility guests.

The Tomorrow.Mobility Gala dinner takes place annually in November. This will be the second edition.
Last year, the Gala dinner was held at the Convent dels Àngels in Barcelona, and 100 guests attended. The event has no cost for invited guests, but it is only for EIT Urban Mobility VIP selected guests.

The Gala dinner includes an Awards Ceremony hosted right before the dinner.
