Key IT systems licences '25-'26

By the present procurement procedure, EIT Urban Mobility (hereinafter referred to as “EIT UM”) seeks professional support for the acquisition of NetSuite software licences and the provision of expert implementation and maintenance services. EIT UM intends to appoint a qualified NetSuite solution provider (hereinafter referred to as the “Supplier”) to deliver these services. This document, together with its annexes, constitutes a Request for Proposal (RFP) issued by EIT Urban Mobility for the potential procurement of enterprise resource planning (ERP) services, including a Customer Relationship Management (CRM) module, a fully customised Grant Management module, and an Academy Master School module.

The awarded contractual arrangement will remain in effect until 31 December 2026, after which it is anticipated that the EIT Shared Services Initiative will be implemented, under which the management of NetSuite would be centralised and jointly administered for all KICs. Accordingly, this agreement is intended to remain in force only until the end of 2026, pending the final resolution and implementation of the Shared Services Initiative.

There are two Work Packages (WP) included in the present RFP that correspond to the licencing of NetSuite. Each WP will be invoiced separately.

  • WP 1:  NetSuite licencing and cloud services for End 2025
  • WP 2: Provision of up to 100 annual NetSuite user licences for EIT Urban Mobility for 2026, and additional cloud services.

WP 1: NetSuite licencing and cloud services for End 2025

The Supplier shall provide licencing and continuous expert support for the remaining days of the 2025 (from 19/12/2025 to 31/12/2025).

WP 2: NetSuite Licensing

The Supplier shall provide up to 100 annual NetSuite user licences for 2026.

The Supplier shall provide not only the required user licences but also the full set of Oracle NetSuite Cloud Services in accordance with EIT Urban Mobility’s (EITUM) system configuration and requirements.

Within this scope, the licensing must include NetSuite OneWorld, configured for six countries and covering the corresponding subsidiaries and currencies. As the standard OneWorld package includes five countries, the proposal shall therefore include one NetSuite OneWorld Additional Country licence to ensure complete coverage for all required entities.

It might be required the use of additional services such as additional Sandboxes, for which the supplier must provide a quotation.
