By the present procurement procedure, EIT Urban Mobility Innovation Hub West (hereinafter being referred to as “EIT UM” is seeking a Communications Consultant (hereinafter being referred to as “Agency”. This document, along with its annexes, constitute a Request for Proposal (RFP) issued by EIT UM for a potential procurement of services related to these events.
EIT Urban Mobility Innovation Hub West is launching a proactive media and public affairs strategy. This will include the organisation of a series of mini symposia, each bringing together 35 to 70 key stakeholders from Dutch cities, metropolitan regions and provinces, as well as from companies (including industry players, SMEs and start-ups), knowledge institutions (such as universities, universities of applied sciences and NGOs), and representatives from the Ministry of Infrastructure and Water Management. The events will be centred around high-impact topics.
Where possible, the symposia will showcase EIT Urban Mobility partners or focus on mobility transition themes particularly relevant to the Dutch context. The strategy also encompasses an active role in the annual ‘NL Delegation and NL Pavilion’ at the Smart City Expo World Congress (SCEWC) and Tomorrow.Mobility World Congress (TMWC) in Barcelona.

As a direct result, EIT Urban Mobility’s main objective with this request is to select a communication consultant to maintain and strengthen its presence in the Dutch mobility, urban, and media landscape, while fostering long-term relationships with key stakeholders in the Netherlands’ Mobility Transition Ecosystem.
The selected communication consultant must provide staff who are native Dutch speakers with a proficient level of English to support EIT UM in achieving these goals. The selected agency should preferably have close connections with the Dutch ‘City Deal’ cities, and/or be involved in the organization of ‘City Deals’, and/or play an active role in ‘City Deals’ projects. Additionally, the selected agency must provide evidence of active involvement in the Dutch delegation and/or NL Pavilion during the annually held Smart City Expo World Congress in Barcelona, thereby enabling EIT UM to expand its footprint in the Netherlands and showcase Thought Leadership.
