Request for proposal:
Conference organised for and within the EU sector in media partnership

6 October 2026

By the present procurement procedure, EIT Urban Mobility (hereinafter referred to as “EIT UM”) is seeking professional support from an established media organisation or media agency with a strong presence, audience reach, and network within the EU policy and media landscape (hereinafter referred to as “the Service Provider”) for the organisation and delivery of a conference in Brussels focused on sustainable mobility transitions and the role of innovation ecosystems in driving them. The selected Service Provider shall leverage its editorial expertise, media platform, communication channels, and stakeholder networks to design, promote, host, and deliver the event. The conference will draw on EIT Urban Mobility’s latest thought leadership and its seven years of experience in building and connecting a European mobility innovation ecosystem.

This document, together with its annexes, constitutes a Request for Proposal (RFP) issued by EIT Urban Mobility for the procurement of services related to conference organisation, editorial content production, event moderation, audience development, media outreach, event promotion, stakeholder engagement, and associated event management services.

EIT Urban Mobility is committed to strengthening its visibility and engagement among EU decision-makers and the wider European policy community. To support this objective, EIT Urban Mobility is looking for a provider to organise a high-level conference in Brussels focused on the role of innovation ecosystems in accelerating sustainable mobility.

The event will explore what an innovation ecosystem means in practice: the actors involved, the connections and collaborations between them, and how these interactions enable new mobility solutions to be developed, tested, financed, scaled, and adopted. It will showcase, through concrete examples, what EIT Urban Mobility’s work over the past seven years has meant in practice and how it has helped build and connect a European ecosystem for mobility innovation.

The event will provide a platform for EU policymakers to engage with this ecosystem and gain a clear understanding of EIT Urban Mobility’s role, activities, and impact, while drawing on insights from its latest thought leadership study on the costs and benefits of sustainable mobility transitions.

The proposed event date is 17th November 2026. The final date will be confirmed following the award of the contract to the selected Service Provider.
