Event venue Face-to-Face All Hands Meeting 2026

By the present procurement procedure, EIT KIC Urban Mobility S.L.U., hereby being referred to as “EIT UM” or as the “Company”, Is currently aiming to identify an Events Venue (hereinafter referred to as “Supplier” or “Provider”), to host the event and provide catering, furniture, staff and audiovisual support for our Face-to-face All Hands Meeting (F2F AHM) 2026. Exact requirements are described in detail in further sections.

Since 2022, EIT UM has organised an annual face-to-face gathering of all team members. The 2026 edition is planned to take place in Barcelona’s Metropolitan Area on 28^th May 2026. Exact timings are still to be decided, but it will be held as an in-person event, only accessible by invitation, with around 180 participants.

The format of the event will be as follows:

• From around 9.00 until 18.00 (exact timings to be defined), the F2F AHM will take place at the event venue. During these hours, there will be several plenary sessions, interactive workshops, coffee breaks, and a lunch break.
• From around 18.00 to 22.00 (exact timings to be defined), there will be an evening event in a cocktail format at the same event venue to get to know the team and enhance collaboration.

The day before, on 27^th May 2026, the event venue shall be reserved for the set-up of the space.
