IT management system maintenance (academy)

By the present procurement procedure, EIT Urban Mobility, hereinafter being referred to as “EIT UM”, is seeking professional support for the IT Management system, currently Plaza in place, that would cover all aspects of EIT Urban Mobility’s “Academy” student lifecycle management. This document, along with its annexes, constitutes a Request for Proposal (RFP) issued by EIT Urban Mobility for a potential procurement of services in the field of IT Management system-Academy Module.

The student lifecycle management part of the Academy module in Plaza contains the following processes:

1. Account registration, creation/account processing.
2. Submission of applications by applicants for the EIT UM Master school
3. Portal with options for future accepted students to maintain their data, update bank account details and other personal details, access their current status and their profile (study progress)
4. Assessment of application eligibility (e.g. English proficiency, uploaded documents, application content)
5. Application assessment in the IT tool by evaluators
6. Ranking of applications, selection of students for education activities
7. Execution of Activities (with first payment)
8. Reporting of Activities
9. Follow-up

The system put in place allows applicants as well as EIT Urban Mobility staff to enter the required information in a structured form, manage it, and to export data in a format. Allowing also additional functionalities such as custom exports for data analysis.
