Key IT Systems Licences'26

By the present procurement procedure, EIT Urban Mobility (hereinafter referred to as “EIT UM”) seeks professional support for the acquisition of NetSuite software licences and the provision of expert implementation and support services. EIT UM intends to appoint a qualified NetSuite solution provider (hereinafter referred to as the “Supplier”) to deliver these services. This document, together with its annexes, constitutes a Request for Proposal (RFP) issued by EIT Urban Mobility for the potential procurement of enterprise resource planning (ERP) services, including a Customer Relationship Management (CRM) module, a fully customised Grant Management module, and an Academy Master School module.

The purpose of this contract is to ensure the continued provision and operational continuity of the key IT licence system required for the activities of EIT Urban Mobility. This contractual arrangement is established on a limited and interim basis, rather than for the full duration of the Business Plan, in anticipation of the potential implementation of the EIT Shared Services Initiative, under which the management of NetSuite would be centralised and jointly administered across all KICs. Accordingly, this agreement is intended to remain in force pending the final decision and implementation of the Shared Services Initiative.

The Supplier shall provide up to 100 NetSuite user licences and additional cloud services for the duration of the contract.

The Supplier shall provide not only the required user licences but also the full set of Oracle NetSuite Cloud Services in accordance with EIT Urban Mobility’s (EITUM) system configuration and requirements.

Within this scope, the licensing must include NetSuite OneWorld, configured for six countries and covering the corresponding subsidiaries and currencies. As the standard OneWorld package includes five countries, the proposal shall therefore include one NetSuite OneWorld Additional Country licence to ensure complete coverage for all required entities.

In addition, access to the SuiteProjects module shall be provided as part of the services. It might be required the use of additional services such as additional Sandboxes, for which the supplier must provide a quotation.
