Terms and Conditions
External exhibitors
These Terms and Conditions (“Terms”) are between EIT KIC Urban Mobility S.L (“the Organiser”) and the person who completes the relevant booking/registration form (“You”) for events managed by EIT KIC Urban Mobility S.L as described in the booking/registration form (“Event”).
Confirmation of bookings
- All bookings are subject to availability and acceptance by EIT KIC Urban Mobility S.L, which will be confirmed in writing (including by e-mail) after EIT KIC Urban Mobility S.L has received the completed booking/registration form, the related fee if required (the “Fee”), and anything else that EIT KIC Urban Mobility S.L may require.
- Upon registration, EIT KIC Urban Mobility S.L will send written confirmation to you of its acceptance of your booking for a place at the Event. This shall be a legally binding contract between EIT KIC Urban Mobility S.L and You to which these terms and conditions apply.
- EIT KIC Urban Mobility S.L reserves the right to refuse to accept any booking in its absolute discretion.
- EIT KIC Urban Mobility S.L reserves the right to refuse admission to any event or conference for any behaviour, which it deems unacceptable, or for breach of the terms and conditions.
Fees
- Fees for the Event are correct at the time of publication. EIT KIC Urban Mobility S.L reserves the right to change the Fees at any time but changes will not affect registrations which have already been confirmed by EIT KIC Urban Mobility S.L. The Fees (where required) are payable at the same time as you submit your booking and/or registration form by credit card.
- The Fees include:
(i) access to a virtual exhibition area at the EIT KIC Urban Mobility Summit 2020 including your logo, profile, brochure and video, and the possibility to connect with EIT KIC Urban Mobility Summit 2020 attendees through live chat and one-to-one networking sessions.
- Under VAT Excise regulations delegates are required to pay VAT on this event. This is included in the ticket price.
- You cannot resell a ticket. Doing so will void the ticket and the ticket holder will not gain entry into the Summit.
- All tickets must be assigned to an attendee, and all attendee details must be 100% complete before the event. Ticket reassignment after this date is prohibited.
Changes, Cancellations and Postponements
- Whilst our programmes are correct at the time of going to press, in certain circumstances it may be necessary for EIT KIC Urban Mobility S.L to alter the content, format, venue or timing of an Event. All delegates will be notified of such changes prior to the Event.
- If you cannot attend an Event for which you have registered, please contact EIT KIC Urban Mobility S.L as soon as possible (and in any event no later than 24 hours before the Event) at eitumsummit2020@eiturbanmobility.eu . Telephone amendments will not be accepted
- EIT Urban Mobility S.L may at our absolute discretion allow you to send a substitute in your place or allow you to attend the next available Event (provided that EIT KIC Urban Mobility S.L has received the details of such substitute).
- The Organising Committee must be notified in writing of any registration cancellation by e-mail (eitumsummit2020@eiturbanmobility.eu). The following cancellation conditions apply, and are subject to change without notice:
- If you notify us that you wish to cancel your attendance at an Event for which a Fee is payable, then cancellation charges shall apply as follows (please note that refunds may take up to 7 working days).
Refunds
- The refunds will be granted in two options depending on the date:
a) 100% refund granted until 2nd November 2020
b) No refund granted from 3rd November 2020 - The cancellation conditions mentioned above are subject to change without notice.
- Regardless of the above criteria we will honor all refunds at 100% if we are notified of cancellations within 72 hours of purchase. Please be aware that payment by credit card may incur a fee from the credit card provider. Hence, this fee will be subtracted from your refund.
- To obtain a refund, please email us at eitumsummit2020@eiturbanmobility.eu, and we will provide a refund within a couple of days. Please note it can take up to a week for a refund credit to appear on your credit card. If after registering, you are unable to attend, you will be given the opportunity to send a colleague in your place. Any name change should be made in writing to eitumsummit2020@eiturbanmobility.eu.
- The refund will be processed by bank transfer, within 7 working days after reception of the bank account details.
- EIT KIC Urban Mobility S.L may in exceptional circumstances need to postpone or cancel an Event, and we will notify you as soon as reasonably practicable of any such postponement or cancellation. If an Event is cancelled, or if an Event is postponed and you cannot attend the rearranged date, we will refund any Fees you have paid in advance. You agree that EIT KIC Urban Mobility S.L liability to you will be limited to the amount of the Fees you have paid and EIT Urban Mobility S.L will not be liable to you for any expenditure, damage or loss incurred by you as a result of the cancellation or postponement.
Limitation of Liability
- Views expressed by speakers are their own and EIT KIC Urban Mobility S.L disclaims all liability for advice given or views expressed during an Event.
- To the maximum extent permitted by law, EIT KIC Urban Mobility S.L shall not be liable to you for any direct, indirect, economic or consequential loss or any loss of business, use, profit, anticipated profit, contracts, revenues, goodwill or anticipated savings arising in connection with this Agreement, even if you have been advised of the possibility of such loss or damage.
Indemnity
- You agree to be fully responsible for (and fully indemnify us against) all claims, liability, damages, losses, costs and expenses, including legal fees, suffered by us and arising out of any breach of the terms by you or any other liabilities incurred by us arising out of your use of the website, the platform or use by any other person accessing the website using your pc or internet access account.
IP rights
- You acknowledge and agree that all copyright, trademarks and all other intellectual property rights in all material or content contained within the Summit materials, website and platform shall remain at all times owned by EIT KIC Urban Mobility S.L. or our licensors. You are permitted to use this material only as expressly authorised by EIT KIC Urban Mobility S.L.
- We reserve all rights not expressly granted in and to the website and the content on the website.
Your details
- Considering some events are online, as an attendee, your image and voice could be processed. The event could also be recorded and some pictures could be taken. As a consequence, attendees’ images and voice could be included in this recording and previously shared on EIT KIK UM website or social media accounts.
- Information about EIT KIC Urban Mobility S.L and our privacy policy is available on //www.eiturbanmobility.eu/privacy-policy/.
- In accordance with such applicable data protection regulation, you are informed that your personal contact data, as well as any personal data provided during the Event, will be processed by EIT KIC Urban Mobility S.L with registered office in Ca l´Alier – Pere IV, 362, 08019, Barcelona, Spain, in order to manage the participation in the Event, to contact you if necessary and, where appropriate, for the sending of commercial communications.
The legal basis for the processing is no other but the consent given by you. No data transfers or communications are intended to be done by the controller, except to services providers involved in the event management, EIT KIC UM group companies and otherwise provided by law. Personal data will be kept only for the time necessary to fulfil the purpose of collection and processing including handling of later legal complaints. When the sending of commercial communications has been requested, personal data will be processed as long as the given consent is not withdrawn.
With regard to the processing, the data subjects may exercise their right of access, rights to rectification, erasure, object, data portability, restriction of processing, not to be subject to automated individual decision-making, and any other right recognised by the applicable regulation from time to time, by writing to EIT KIC UM through the following e-mail address legal@eiturbanmobility.eu.
Where appropriate, and you consider it necessary, you also have the right to file a claim in relation with the use of your personal to the competent supervisory authority whose details are available here.
As a participant of the EIT KIC Urban Mobility Summit 2020 event, you expressly declare that you have read, understood and accepted the data protection information provided by EIT KIC UM and, in the same way, you expressly consent to the processing of my personal data for the purposes described.
Other
- These terms contain the entire agreement between you and EIT KIC Urban Mobility S.L.
- If any provision of these terms is held to be invalid, illegal or unenforceable for any reason by any court of competent jurisdiction, such provision shall be severed and the remainder of the provisions will continue in full force and effect as if the terms had been executed with the invalid, illegal or unenforceable provision omitted.
- Any express or implied waiver to perform any obligations under these terms will not prevent the subsequent enforcement of them.
- These terms shall be governed by Spanish law and you hereby irrevocably submit to the exclusive jurisdiction of the Spanish courts. Nothing in this clause shall limit EIT KIC Urban Mobility S.L’s right to take proceedings against you in any other court of competent jurisdiction.
